Welcome Your Guests provides digital welcome guides, booking tools, guest messaging, analytics and Guest Upsells for short-stay hosts. This policy applies to visitors, account holders and guests using a guide.
2. Information we collect
- Account details such as name, business name, address, email and phone number.
- Property, guide, booking and billing information entered by a host.
- Guest details supplied by a host or guest, including name, email, stay dates, messages and Guest Upsell requests.
- Service activity such as guide views, section views and outbound link clicks.
- Technical and security information required to authenticate users, deliver the service and prevent abuse.
3. How we use information
We use information to provide and secure the service, deliver requested communications, process subscriptions, support hosts and guests, improve product performance and comply with legal obligations.
4. Hosts and guest information
For guest information entered into a host workspace, the host normally determines why and how that information is used. Welcome Your Guests processes it to provide the service. Hosts must have a lawful basis for adding guest information and must provide any privacy information required by law.
5. Service providers
We use trusted providers for hosting, database and authentication services, email delivery and subscription payments. These currently include Vercel, Supabase, Resend and Stripe. They process only the information needed to provide their service.
6. International transfers
Some providers may process information outside the United Kingdom or the guest's home country. Where required, appropriate contractual and legal safeguards are used.
7. Retention
Information is kept only as long as necessary to provide the service, resolve disputes, meet accounting or legal requirements and maintain security. Deletion requests may require limited billing or transaction records to be retained where the law requires it.
8. Your rights
Depending on where you live, you may have rights to access, correct, delete, restrict or object to processing, and to receive a portable copy of your information. Hosts can download workspace data and submit a deletion request from account settings. Guests should normally contact their host first because the host controls their booking information.
9. Security
We use access controls, private booking links, encrypted connections and managed infrastructure. No online service can guarantee absolute security, so users should keep passwords and private guide links confidential.
10. Complaints and changes
You may contact us with a privacy concern and may also complain to the UK Information Commissioner's Office or your local supervisory authority. We may update this policy as the service or law changes and will publish the effective date above.
